Data Ownership & Export Policy
Your data belongs to your firm. This policy explains LegalsOne's commitment to data ownership, the formats and mechanisms available for export, and the applicable timelines.
Effective Date: February 23, 2026
1. Data Ownership
Subscribing law firms ("Customers") retain full ownership of all data, documents, records, and content ("Customer Content") that they create, upload, or generate within the LegalsOne platform. LegalsOne makes no claim of ownership to Customer Content. This principle applies unequivocally:
- Customer Content is not used by LegalsOne for product development, training, or any purpose outside of service delivery;
- Ownership does not transfer to LegalsOne at any time during or after the subscription;
- LegalsOne's possession of Customer Content is solely as a processor at the direction of the Customer (as controller);
- Customers may delete their own content at any time during the subscription via platform tools.
2. How LegalsOne May Use Customer Data
LegalsOne may process Customer Content only to:
- Deliver and maintain the subscribed services;
- Respond to support requests initiated by the Customer;
- Generate system-level metrics and aggregated, non-identifiable analytics for infrastructure health monitoring;
- Comply with legal obligations or respond to valid legal process.
LegalsOne does not sell Customer Content, use it for advertising, or share it with third parties except as required to deliver the services (per the Subprocessors List).
3. Your Export Rights
Customers have the right to export their data:
- At any time during the subscription — self-service exports are available from within the platform through standard export tools.
- Upon subscription termination — a 30-day post-termination export window is provided, during which Customer Content remains accessible.
- On demand via support request — for bulk exports or custom formats not available through self-service tools, Customers may submit a request to support@legalsone.com.
4. Export Formats
LegalsOne supports export of Customer Content in the following formats:
| Data Type | Available Export Format |
|---|---|
| Case and matter records | CSV, JSON |
| Client and contact records (CRM) | CSV, JSON |
| Documents and files | Original file format (PDF, DOCX, XLSX, etc.) in ZIP archive |
| Audit logs | CSV, JSON |
| Accounting / trust records | CSV |
| HR records | CSV, JSON |
LegalsOne does not lock customer data into proprietary formats. All exports are in open or widely-supported standards. We do not charge fees for standard self-service exports during an active subscription.
5. Export Mechanisms
- Self-Service Export: Available from the platform's Settings > Data Export section. Firm administrators can initiate exports at any time. Large exports are prepared asynchronously and delivered via a secure in-platform download link.
- Bulk Export via Support: For full environment exports or custom data packages, submit a request to support@legalsone.com. Bulk exports are delivered as encrypted ZIP archives via secure link.
- Post-Termination Export: LegalsOne will email export instructions to the primary administrator upon subscription termination.
6. Timeline & Response SLA
- Self-service exports: Available immediately; processing time for large archives may take up to 2 hours.
- Support-requested exports: LegalsOne will initiate processing within 5 business days of receiving a complete export request.
- Post-termination window: 30 days from the subscription end date. Customer data is deleted after this window per our Data Retention & Deletion Policy.
7. Fees
- Standard self-service exports during an active subscription: No charge.
- Bulk support-assisted exports during an active subscription: No charge for exports up to 50 GB; larger exports may be subject to a nominal delivery fee.
- Post-termination exports (within the 30-day window): No charge.
- Post-window data recovery (if data has not yet been fully purged): Subject to an emergency recovery fee; contact us to discuss whether recovery is feasible.
8. Data Portability
LegalsOne is committed to data portability as a principle. We provide common, machine-readable export formats specifically so that customers are never dependent on LegalsOne as the sole means of accessing their data. We will not intentionally design export pathways in ways that impede migration to other platforms.
